Privacy Policy

This Privacy Policy explains how Simple Scribe (“Simple Scribe,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you use Simple Scribe at https://simplescribe.app and related websites, apps, and services (collectively, the “Service”).
1. Scope and who we are
This Policy applies to visitors, people who try the Service without a full account, registered users, and paying subscribers. It does not cover third-party websites or services that we do not control.

By using the Service, you acknowledge this Policy. Related rules for using the Service are in our Terms of Service.
2. Information we collect
We collect information you provide, information collected automatically when you use the Service, and information from service providers who help us operate the Service.
Account and profile information.
Name, email address, password, and basic account details.
If you sign in with a third-party account (such as Google), basic profile details those providers share with us for sign-in.
Billing and subscription details needed to manage your plan. Full payment card numbers are handled by our payment processor, not stored by us.
Preferences and settings you choose in the product.
Your content and results.
Audio and video you upload, and media you import from links you provide (such as public YouTube videos).
Transcripts and related results created from your media (such as timing, speaker labels, chapters, summaries, translations, dubbed audio, chat answers, and exported files).
If you use voice-matched dubbing, portions of speaker audio may be used so dubbed speech can sound similar to voices in your recording.
Your content may include the voices, faces, or speech of other people. You are responsible for having the rights and any required permission to upload and process that content.
Guest use.
A temporary identifier so we can link guest activity in your browser, help prevent abuse, and optionally connect guest uploads if you later create an account.
Limited security checks (such as bot protection) when needed to protect the Service.
Website visit analytics.
On public marketing pages, we record a first-party visit session so we can understand traffic from ads and other sources. This may include the page path, referrer, campaign parameters (such as utm_source), approximate time on page, how far the page was scrolled, IP address, and browser user agent.
This visit analytics identifier is separate from the guest upload identifier and is not used to track you across other companies’ websites.
Usage and device information.
Basic technical details such as IP address, browser or device type, approximate location from network info, and diagnostic logs needed to run and secure the Service.
Usage information related to your plan (for example time or features used, storage, and similar limits).
Cookies and similar technologies described below.
Please do not upload content you are not allowed to process. Avoid specially regulated personal data unless you have a lawful basis and a separate written arrangement with us covering that use.
3. How we use information
We use personal information to:
Provide and improve the Service, including uploading, storing, transcribing, translating, dubbing, summarizing, chatting about, searching, and exporting your content.
Create and manage accounts, verify email, prevent abuse, apply plan limits, and fix problems.
Measure marketing-page traffic (including ad campaign attribution such as UTM parameters) so we can understand visits, engagement, and how people find the Service.
Process payments, renewals, receipts, and related billing records.
Send important account messages such as verification, security, billing, and service notices.
Comply with law and protect the rights, safety, and integrity of users and the Service.
Send product updates related to your account. We do not currently send marketing email. If we begin sending marketing email where consent is required, we will ask for it and provide a way to unsubscribe.
AI features. Some features use automated systems (ours and trusted providers) to turn your media and prompts into results. Those results can be incomplete or incorrect. See our Terms for important AI disclaimers.
We do not sell your personal information or your content, and we do not use your content to train our own general AI models. Providers who help process your content do so to deliver the features you request, under their terms and our arrangements with them.
4. Legal bases (EEA/UK and similar laws)
Where those laws apply, we generally rely on: providing the Service you asked for; legitimate interests such as security and preventing abuse (balanced against your rights); consent where required; and legal obligations when we must keep or disclose information.
5. How we share information
We share personal information only as needed to run the Service, follow the law, or follow your direction. That may include:
Hosting, storage, and security: Cloudflare (including R2 object storage and Turnstile bot checks) and our application hosting environment.
AI and speech: OpenAI, Google Gemini, and ElevenLabs, which help create transcripts, translations, dubbing, summaries, chat answers, embeddings, and similar results.
Payments: Stripe, which handles checkout, saved payment methods, and related billing.
Email: Resend, which sends account and service messages (such as verification codes and billing notices).
Sign-in: Google, when you choose to create or access an account with Google.
Website analytics are first-party only (stored in our systems). We do not use third-party advertising or analytics pixels such as Google Analytics, Meta Pixel, PostHog, or Microsoft Clarity.
Professional advisors (such as lawyers or accountants) under confidentiality obligations when reasonably needed.
A buyer or successor if we are involved in a merger, acquisition, financing, or sale of assets, subject to applicable law.
Authorities or other parties when we believe disclosure is required by law or needed to protect rights, safety, or security.
We do not sell personal information for money. We also do not use your content for advertising that tracks you across other companies’ websites or apps. If that ever changes, we will update this Policy and provide any required choices.
6. International transfers
We and our service providers may process information in the United States and other countries. Where required, we use appropriate protections for cross-border transfers. Information may be processed outside your country of residence.
7. Retention
We keep information as long as needed to provide the Service, meet legal requirements, resolve disputes, and enforce our agreements. How long library content is kept also depends on your plan (subject to change; what you see in the product controls if there is a conflict):
Guest uploads: about 1 day(s).
Free plan: about 30 days.
Pro plan: about 90 days.
Plus and Business plans: until you delete the content or close your account, subject to storage limits and account status.
Account, billing, and security records may be kept longer when necessary. After you delete your account, we remove your library content and scrub or detach personal identifiers from billing event records where practical; limited billing or fraud-prevention records may remain when we must keep them. After deletion, copies may remain briefly in backups until they are replaced in the normal course of operations.
Application diagnostic logs are short-lived operational console logs used to run and secure the Service. We do not currently use a separate long-term third-party application logging or error-tracking product.
Materials created to support voice-matched dubbing are kept only as needed to provide that feature and may be removed when related content is deleted or the feature is no longer used.
8. Cookies and similar technologies
We use cookies and similar technologies that are:
Necessary to sign in, keep you signed in, protect the Service, and support guest trials.
Used for security checks, such as confirming you are not a bot, when needed.
Used to remember limited preferences, if you set them.
First-party analytics on marketing pages to measure visits, time on page, scroll depth, and campaign parameters (such as utm_source). These are our own cookies, not third-party advertising cookies.
We do not currently use third-party advertising cookies or cross-site tracking pixels. If we add those, we will update this Policy and, where required, ask for consent and offer controls.
You can opt out of first-party marketing-page analytics using the preference control on this page (near the top, or via the “Analytics preferences” link in our website footer). Necessary cookies (sign-in, security, guest identity) are required for the Service to work and are not covered by that opt-out.
You can also control cookies in your browser. Blocking necessary cookies may prevent sign-in, uploads, or guest use from working.
9. Security
We use reasonable safeguards designed to protect personal information. No online service is completely secure. You are responsible for protecting your password and the devices you use to access the Service.
If a security incident affects your personal information, we will notify you and regulators as required by law.
10. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of personal information, to object to or limit certain processing, and to withdraw consent where processing is based on consent. Some U.S. state laws also provide rights to know, delete, correct, and opt out of certain “sales” or “sharing.”
To exercise rights, email privacy@simplescribe.com from the email on your account (or give us enough detail to verify who you are). We may ask for more verification and will respond within the time required by law.
In the product you can delete uploaded videos and related results, delete your account, and change certain preferences (such as AI model settings). Display name and email are shown from your account; to correct them, email support@simplescribe.com or privacy@simplescribe.com. Closing an account or requesting deletion may leave billing or fraud-prevention records we are required to keep.
We will not treat you unfairly for exercising privacy rights. Where the law allows authorized agents to submit requests, we will handle them with appropriate verification.
If you are in the EEA or UK, you may also contact your local data protection authority. We encourage you to reach out to us first so we can try to help.
11. Children’s privacy
The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you think a child provided personal information, contact privacy@simplescribe.com and we will take appropriate steps to delete it.
12. Third-party services and links
The Service may connect to third-party services you choose to use (for example sign-in, payments, or importing media from another platform). Their privacy practices are controlled by their own policies, not ours.
13. AI transparency
When you use features like transcription, translation, dubbing, chapters, summaries, or AI chat, automated systems process your inputs to create outputs. We do not use those systems to make automatic decisions about you that have legal or similarly significant effects outside operating the Service (such as applying plan limits or security protections).
You should review AI outputs before relying on them for important decisions.
14. Changes to this Policy
We may update this Privacy Policy from time to time. We will post the updated version with a new “Last updated” date and, for material changes, provide extra notice when required by law. Continued use after changes take effect means you acknowledge the updated Policy, except where consent is required.
